What is SmartDMS

SmartDMS is a document management system built on SharePoint and Microsoft 365 that helps organisations manage important documents such as policies, procedures, and controlled records in a consistent way.

It works within SharePoint and Teams to replace informal folder structures with clear document metadata, defined ownership, and simple processes for reviewing, publishing, and keeping content up to date.

SmartDMS makes it easier for people to find the right document, understand what they need to read or action, and trust that the information they are using is current and approved.

In our help files there may be screenshots or steps that may differ slightly to the appearance on your own SharePoint Site due to your organisation preferences, menu structure or you may have chosen to customise this solution.

There are two core versions of the solution, Word Only where users have either Edit access or Read Only access to the Word documents, OR if you are using PDF publishing, in which case owners who are currently editing documents will see the Word documents, everyone else will see only a PDF version.
