Editing a Controlled Document

Requesting Edit access to a controlled document

Documents in the library show as a PDF or Word document, depending on your organisation setup.  To be able to edit the document you need to request Edit access to the underlying Word document.

Note: When a document is newly created with the New Document App, owners will automatically have edit access to the new document and do not need to follow this process.

1.       Click the Request Access to Change this Document button under the Edit Properties column.



2.       If you are the owner of a document you can Run Flow and automatically have access to edit the document. If you are not the owner, you can add any comments and then request access to edit from the owner.

3.       The request for access will be sent to the Document Owner by email.  The Document Owner can approve or decline access.

4. You will receive an email once Edit access is granted.  You can then edit the document. 

Adding or Editing SharePoint Properties

Individual Files

Note: In order to change SharePoint properties you first need to be granted Edit access to change the SharePoint Properties, and the file will need to be republished after you make any alterations to the properties. 

1.       Open your SmartDMS Library.

2.       Select the file whose properties you wish to edit.

3.       Click on the pencil in the Edit Properties column

4.       A panel will open

5.       Edit the properties as required then click Save at the top.

 

Bulk Editing SharePoint Properties (if available)

1.       Open your SmartDMS Library.

2.       Filter to the files you want to edit.

3.       Click Edit in Grid view on the ribbon

4.       Make the changes in the grid in each cell as you would in Excel.  It is possible to drag a field down multiple
rows by selecting the bottom right corner once populated.

When finished make sure you click Exit Grid View.
