The previously published version of the document stays live & visible, while it is being Reviewed and Edited. The edits are only visible to those Reviewing or Editing the document.
The process below will Publish the edited/reviewed version of the document, making it the current version, and replace any existing versions of the document for anyone who has access to view it.
- Ensure that you have completed the steps above before publishing your document (see Last Steps before Publishing the document).
- Before publishing the document please make sure you Save and Close the document as the document can’t be published if it is left open and locked by the user.
- Publishing will attempt to complete every 5 minutes for 1 hour, if the document is still locked after an hour the publishing will fail.
Publishing your document
You can publish a document from the My Task App via the review process or unpublished documents.
OR
From the SmartDMS library Click Publish in the Edit Properties column.
A panel will open on the right.
1. Fill in the required fields and then click Re-Publish this Document.
Comments
- Add any notes you would like your Audience to view. This will be visible in their notification when a Read task is created.
- Yes, Commit for Review Cycle to next period (this will send the document for Publishing with a new Review date: today’s date plus the number of months of your Review cycle).
- No, Keep the current review date (this will send the document for Publishing with the existing Review date).
Publish Audience Tasks
- Yes, publish Read task to the Audience (this will send a notification and create a read task for each Audience member, asking them to Read and Acknowledge the newly published document).
- No, don’t publish any tasks (this allows the document to be published without sending Read tasks to the Audience).
2. A notification will be sent to your Approver for them to Approve the publishing of the document. If you are also the Approver the document will publish immediately.
If after 5mins, you can not see the published document, it may be due to the document being “locked”, as a user has the document open. It’ll retry to publish the document every 5 minutes for an hour before failing.
When tasks are published any outstanding tasks for previous versions of the document will be auto closed. Leaving only the new current tasks to be reviewed and actioned.
